If you are a new patient, Belinda will email you a questionnaire which she will ask you to complete and return before your treatment.

She uses the information you provide to understand more about your concerns and to tailor your treatment to your individual needs and requirements.

 

Cancellation/Rescheduling Policy

Cancellations and Rescheduling – All Appointments

We kindly ask for a minimum of 24 hours notice to cancel or reschedule an appointment. This allows us to manage our schedule and accommodate other clients with the same level of exclusivity and care. For cancellations or rescheduling requests made less than 24 hours before the appointment, the full fee for the appointment will be payable.

Late Arrival – Clinic Appointments

In the event of a late arrival, we will make every effort to accommodate you, but please be aware this may necessitate adjustments to your treatment duration or change the appointment date. The full treatment fee for the appointment will be payable whether or not we can accommodate you.

Missed Appointments – All Appointments

In cases of no-shows without prior notification, the full treatment fee for the appointment will be payable. We carefully prepare for each appointment, and a missed session without notice prevents us from extending our services to other clients.

Consideration for Unforeseen Circumstances – All Appointments

We understand that life can be unpredictable. Please inform us at your earliest convenience if you have any extenuating circumstances. We will consider these situations sympathetically and try our best to accommodate your needs.

Patient Data and Privacy Notice (UK GDPR)

Below you will find the Data and Privacy Notice you will be provided with when you become a patient of Considerate Foot Care.  This is required to comply with the General Data Protection Regulations UK.

This is supplied to you when you complete the Patient Registration, Medical History and Consent to Treat forms prior to your first treatment.

Patient Data and Privacy Notice (UK GDPR)

This Privacy Policy describes how and when I collect, use, and share information when you attend an appointment with me, purchase a product from me, contact me, or otherwise use my services. This is to comply with the General Data Protection Regulations (UK GDPR).


Information I Collect
To aid your treatment or as part of purchasing something from my business, you will normally provide me with certain information, such as your name, email address, postal address, medical information, and payment information. I will store your information on an electronic patient record and diary system which is fully password protected.


Use of AI Technology for Consultation Notes
To support accurate and timely clinical record-keeping, I may use artificial intelligence (AI) transcription technology to record and transcribe spoken information during your appointment. These recordings are used solely to assist in creating your treatment notes and are not retained as part of your patient record.

The transcription is processed using a secure, GDPR-compliant AI tool and the resulting notes are anonymised and checked by me before being added to your official patient record. Once this process is complete, both the audio and transcription are permanently deleted. No identifiable patient data is stored by the AI system beyond the duration of processing.

This use of AI helps ensure your records are complete, accurate, and reflective of your consultation while maintaining your confidentiality and complying with data protection law.


Why I Need Your Information and How I Use It
I rely on a number of legal bases to collect, use, and share your information, including:
• where it is necessary for the purposes of the provision of health care as needed to provide my services, such as when I use your information to fulfil your foot health assessment and treatment, or to provide customer support;
• when you have provided your affirmative consent, which you may revoke at any time, such as by signing up for my mailing list;
• if necessary to comply with a legal obligation or court order or in connection with a legal claim, such as retaining information about your purchases if required by tax law.


Information Sharing and Disclosure
Information about my patients/customers is important to my business. I share your personal information for extremely limited reasons and in limited circumstances, as follows:
Medical professionals. With your consent, I will share information with medical professionals such as your GP or consultant to allow continuity of care. You will always receive a copy of any correspondence sent.
Foot Health Practitioner/Podiatrist. With your consent, I will share information with another Foot Health Practitioner or Podiatrist to allow continuity of care should I be temporarily unable to provide care to you. This may include, as necessary, your full medical record and appointment details.
Service providers. Should I engage certain trusted third parties to perform functions and provide services to my business, I will share your personal information with these third parties, but only to the extent necessary to perform these services.
Business transfers. If I sell or merge my business, I may disclose your information as part of that transaction, only to the extent permitted by law and with your knowledge.
Compliance with laws. I may collect, use, retain, and share your information if I am legally required to.


Marketing (Email; Text; Mail; No Marketing options)
From time to time I may need to contact you by email, text or phone to inform you of important information, for example, clinic closure due to inclement weather or sickness. This type of contact is deemed to be part of reasonable business procedure.

Occasionally, I may wish to send you direct marketing material which may include special offers for current clients, and newsletters. This is usually by email or text but may occasionally be by mail. If you are happy for me to do this or would prefer not to receive any marketing, please let me know your preferences at your first appointment.


Data Retention
I retain your personal information only for as long as necessary to provide you with my services and as described in my Privacy Policy. However, I may also be required to retain this information to comply with my legal and regulatory obligations, to resolve disputes, and to enforce my agreements. The retention of foot health records is normally a minimum of 8 years after the last appointment.

For customers who are not patients but may have bought products from my business, I will keep any data you may have provided for a minimum of 6 years in line with tax legislation.


Transfers of Personal Information Outside the EU
I may store and process your information through third-party hosting services in the US and other jurisdictions. For example, if using clinic software for patient notes and diary bookings. As a result, I may transfer your personal information to a jurisdiction with different data protection and government surveillance laws than your jurisdiction. If I am deemed to transfer information about you outside of the EU, I rely on the EU-US Data Privacy Framework (DPF).


Your Rights
You have a number of rights in relation to your personal information. While some of these rights apply generally, certain rights apply only in certain limited cases. I describe these rights below:
Access. You have the right to access and receive a copy of the personal information I hold about you by contacting me using the contact information below.
Change, restrict, delete. You may also have rights to change, restrict my use of, or delete your personal information. In the case of health records, these are normally exempt from change and deletion requests.
Object. You can object to (i) my processing of some of your information based on my legitimate interests and (ii) receiving marketing messages from me after providing your express consent to receive them. In such cases, I will delete your personal information unless I have compelling and legitimate grounds to continue using that information or if it is needed for legal reasons.
Complain. If you wish to raise a concern about my use of your information (and without prejudice to any other rights you may have), you have the right to do so with the Information Commissioner www.ico.org.uk

Any other use of your personal data will only occur with your informed consent as confirmed by your signed declarations.

Taking care of your feet is very important, especially if you suffer from circulatory problems, diabetes or if you are overweight.

Regular visits with a qualified Foot Health Practitioner are very important and should not be underestimated.

What Can I Expect At My First Appointment

We start by recording relevant personal details and medical history, (all records are kept confidential).

We then proceed to give your feet a thorough foot health check and discuss your requirements and treatment plan.

Once treatment is complete, we can answer any questions you might have and relevant advice is given.  The treatment concludes with a complimentary foot massage.

Why Do You Collect Personal Information? Are Records Kept Confidential

We collect information about you for 2 reasons: firstly, it is a requirement by law and for insurance purposes. Secondly, to provide you with the best possible treatment plan using clinical reasoning processes.

The type of information we will collect about you includes: name, address, contact numbers, medical and any other relevant history.

We are committed and required by law to maintain confidential your personal information.

We will only use the information that I collect about you lawfully and in accordance with the Data Protection Act and more recently also the UK General Data Protection Regulations.

What Is A Foot Health Practitioner?

Foot Health Practitioners deliver routine foot care wherever it is needed. They are trained to recognise and assess foot conditions, treat appropriately and refer when necessary.

Many people need simple foot care to maintain mobility and quality of life. Being overweight or diabetic increases the need, both of these conditions are rapidly increasing in prevalence in the population.

Working as independent practitioners in the private sector, Foot Health Practitioners deliver their skills in a wide range of settings.

They work with other health care professionals wherever necessary for the well-being of their clients. They may visit individual clients in their own homes, attend clients in Rest Homes and Nursing Homes, or visit industrial and commercial sites for the benefit of employees.

Many Foot Health Practitioners establish their own surgery-based premises in order to provide a service to a local population.

Gold Standard Hygiene

Our “Gold Standard” service includes a high quality of hygiene including full vacuum sterilisation of instruments which means that all instruments, used on each individual patient, are individually pouched prior to sterilisation and then “in pouch” autoclave sterilised so that every set of instruments used is in a 100% sterile state when opened in front of you at each treatment.

This standard is over and above the minimum requirements for Foot Health Practitioners and not all Practitioners operate at this level of instrument hygiene.

What Is The Difference Between A Foot Health Practitioner, a Chiropodist And A Podiatrist

Foot Health Practitioners and Podiatrists both have important roles to play in the community. Nowadays there are fewer Chiropodists in the community.

In 2005/6 the terms Chiropodist/Chiropody/Podiatrist/Podiatry became “protected” following government legislation.  This meant that the schools that used to train Chiropodists then had to re-name their graduates, so from mid-2004 onwards the Foot Health Practitioner came into existence!

Foot Health Practitioners provide the routine foot care that the majority of people require on a regular basis ie. Toenail Trimming, Ingrown Toenails (that do not require surgery), Corns, Calluses, Fungal Infections, Verrucae, Diabetics (who have their condition under control) etc.  They are privately trained (ie. self-funded) to diploma level.   Some Foot Health Practitioners undertake post-graduate studies to qualify in bio-mechanics, Cryo-surgery etc. and some even go on to undertake Podiatry degrees.

Podiatrists provide care to “at risk” patients ie. Diabetics whose condition is out of control, surgical procedures, biomechanics etc. Very often a Podiatrist will specialise in particular area.  They can also provide the more routine footcare that the Foot Health Practitioner provides.  They are trained to degree level and can work within the NHS as well as privately.   They can be registered with the Health and Care Professional Council (HCPC).
